The Muster is committed to protecting the privacy of our wargaming community. This Privacy Policy explains how we collect, use, store, and share your personal data when you add the bot to your server, interact with the bot, or use our website.
1. Data We Collect
To provide automated matchmaking, league scoring, and subscription features, The Muster processes the following data directly from Discord and Stripe:
- User Identifiers: Your Discord User ID, username, and avatar. This is required to identify you in pairing queues and register you for leagues.
- Server Metadata: Discord Server (guild) IDs, channel IDs, and role IDs. This is required to configure matchmaking channels, restrict commands to admins, and publish matchups.
- Match & Wargaming Data: Game systems played (e.g. Warhammer 40k), points lists, play style tags (e.g., Casual, Competitive), matchup pairings, and reported match scores.
- Payment & Billing Info: Subscription status and Stripe customer identifiers. All credit card details and payment processing are handled securely by Stripe. The bot only stores your subscription status (e.g., Sergeant, Captain) to enable paid features.
2. How We Use Your Data
We use your data strictly to operate, maintain, and support The Muster bot, specifically to:
- Match you with opponents based on your wargaming system, points ranges, and play style preferences.
- Track club nights, generate pairing cycles, and record league standings.
- Verify subscription gating for Sergeant and Captain tiers.
- Alert you of matchmaking status, matchups, and score confirmations via direct messages.
3. Legal Basis for Processing (UK GDPR)
Since we operate in the United Kingdom, we process your personal data under the following legal bases:
- Performance of a Contract: Necessary to run matchmaking services and leagues requested by you or your server administrator.
- Legitimate Interests: To secure and optimize the bot's functionality and prevent abuse of our subscription system.
4. Data Retention
We retain your matchmaking profile, active queues, and historical matches as long as your Discord server remains active with The Muster bot, or until you request deletion. Historical match results are kept to preserve league standings and rankings for your club.
5. Data Sharing & Security
- No Sale of Data: We do not, and will never, sell or trade your data to third parties.
- Third-Party Processors: We share necessary billing tokens and customer information with Stripe solely to manage subscriptions. No payment card details are ever processed or stored on our servers.
- Hosting: Bot databases and configurations are hosted on secure, restricted cloud instances with access limited strictly to the developer.
6. Your Rights
Depending on your location (including the UK/EEA), you have rights regarding your personal data, including the right to access, correct, or request the deletion of the data we hold about you. To exercise these rights, please contact the server administrator or reach out to us directly through the Support interface.
